Correcting records
How to correct a felling or bucking, move records to the right tree, correct the tree list, delete what was recorded for a tree, fill in a missing worker, change a load, and void a lot. Nothing is ever erased.
What this is for
Mistakes happen: a wrong diameter, a felling recorded on the wrong tree, a cutter not named. Tomruq lets you correct them, and never erases anything. Every correction is kept beside what it replaced, with who made it, when and why. An auditor can see both.
Which tool for which mistake
| Mistake | Where | Who |
|---|---|---|
| A wrong figure in a felling or bucking | Correct on the device | The crew |
| Saved by mistake, a moment ago | Undo on the device | The crew |
| A felling or bucking that should not exist | Delete tree record… in the console | Owner, manager |
| The cutter or bucker is not named | Fill in… in the console | Owner, manager |
| A code on the wrong load, or a wrong note | Edit load… in the console, or edit the load on the device | Owner, manager, crew |
| A load that should not exist | Void load… in the console, or Delete this load on the device | Owner, manager, crew |
| A whole lot set up by mistake | Lot actions → Void lot… | Owner |
| A refused record | To fix | Owner, manager. See To fix |
| A felling or bucking on the wrong tree | Actions → Move records to another tree… in the console | Owner, manager |
| A wrong species, diameter, estimate or note for one tree | Actions → Correct catalog data… in the console | Owner, manager |
| Many wrong values in the tree list, or trees missing from it | Revise the tree list… in the console. See Import a tree list | Owner, manager |
| A species code or name | Admin → Species → Change | Owner, manager |
On the device
Correct. On the tree's page, a finished step (Felling or Bucking) has Correct. It opens the same screen with what was recorded. Change it and save. The new version replaces the old one; the old one stays in the history.
Undo. After a save, the app shows "✓ 101 saved on this device" with Undo for about ten seconds, as long as the record has not been sent. Undo takes the record back and opens it again. Once sent, use Correct instead.
Delete what was recorded for a tree
Use this when a felling or bucking was recorded for a tree that was never cut.
- Open the tree's page and click Actions → Delete tree record….
- Say Why.
- Type the tree's label (its number, such as
101) exactly, to confirm. - Click Delete tree record.
Its felling, bucking and logs are hidden. The tree stands again in the list, and a crew can record it anew. The records stay in its history.
There is a limit per lot per day (10 by default). The dialog shows how many deletions are left today. An owner changes the limit under Settings → Trees that may be deleted in a lot each day.
Fill in a missing cutter or bucker
When a felling or bucking was saved without the person who did the work:
- Open the tree's page. Next to the missing name, click Fill in….
- Choose the person from the crew. People who do this work are listed first.
- Click Fill in.
This fills only the gap. If the crew later records the cutter on the device, theirs is kept.
The person must be on the crew list first. See Crew and accounts.
Change or void a load
Open the load from the lot's Loads tab.
- Edit load…: change the note, untick codes to take them off the truck, or take off the material without a tag. The dialog lists what will change. Say Why, then Save changes. The driver, plate and date cannot change.
- Void load…: the load is deleted, and its logs come off the truck. Say Why, then Void load. A voided load can never be edited again. Its records stay in the history.
To change a driver, plate or date: void the load and record it again.
Close, reopen and void a lot
Open the lot and click Lot actions.
- Close lot (owners, managers): no tree list can be imported while it is closed. Everything recorded stays. Reopen lot makes it active again.
- Void lot… (owners): says the lot should never have existed. Type the lot's code, say why, and enter your password. Its records stay, nothing can be imported into it, and it leaves the active lots. Anything a device still sends for it is kept and flagged. Unvoid lot… brings it back, with everything recorded.
Move records to the right tree
Use this when a crew recorded a tree's work under the wrong number, for example a worn stamp read as another tree. The felling, the bucking, the logs and the photos move to the tree they belong to. Nothing is recorded again.
- Open the tree the records are on now, and click Actions → Move records to another tree….
- Under The tree they belong to, type its tag or label in the same lot, exactly as written, and click Check.
- Read What the check found:
- What moves: the felling, the bucking with its logs, and the photos.
- The logs get new codes: each log's Code now and its New code.
- The loads that carry the old codes. Loads are not changed, and they still find the right log.
- Say Why, and click Move records to tree ….
- The new codes are shown again, large. Use Copy codes or Print, and have the crew re-mark each log with its new code. The crayon marks on the logs still name the old tree.
The old tree stands again, and a crew can record it. Both trees' pages say where the records went, and their histories keep the move. A move has no Undo, so check the target before you click.
Records can only move to a tree with nothing recorded yet. They are never merged. The check says so, and names what holds the other tree. A tree that has reached the saw keeps its records.
Moving records from the device app is not available yet. Meanwhile the crew tells the office, and the office moves them in the console.
The custody ledger
Records → Custody ledger lists every move of records between trees, newest first: when, from which tree to which, what moved, why, who, and on which device. Filter by lot, person, device, dates, or one tree (on either side of a move). Owners, managers and auditors can read it.
Correct one tree's catalog data
Use this when the office list has a wrong value for one tree: species, diameter, estimate or note.
- Open the tree's page and click Actions → Correct catalog data….
- Change the fields that are wrong. What will change shows each value before and after. A species code the organization does not have yet is added, and the dialog says so.
- Say Why, and click Correct.
Devices get the correction at their next sync. The tree's history keeps what it was. Undo on the message writes the previous values back. The lot must be active.
For many changes at once, revise the tree list instead. See Import a tree list.
Species
Admin → Species lists every species your tree lists name, with how many trees name each. To fix a species code or name, click Change, make the change and click Save. Every tree that names the species shows the change, and devices get it at their next sync. Undo puts it back.
Tips
- Always say why. The reason is what an auditor reads.
- Ask the crew to correct their own figures on the device when they can. They know what they measured.
- Every change shows under Records → Activity, and on the tree's own page under History. Moves between trees also show in the Custody ledger.
